AI Writing Apps for Teams: Seat Prices, SSO Tiers, Export

Buy AI writing software for five people and the numbers that matter are not on any feature list. Jasper's Pro plan includes exactly one seat and routes teams to sales, with no published Business price. How these numbers were checked, and the claims left unpublished#

Every figure below came from a vendor-owned page opened in August 2026: a pricing page, a help center article, or an official product page.

That discipline removed more than it kept. Four examples:

ChatGPT. Every OpenAI pricing and business URL returned an HTTP 403 to an automated fetcher. So this article publishes no ChatGPT price, no seat count, and no claim about which tier carries SSO. It is a real option, but none of its team pricing could be verified from a primary source, so it is not in the table.

Grammarly's team tier. The plans page showed Free, Pro and Enterprise only. Any Grammarly business price or seat minimum remains unverified.

Jasper's Business rate. Custom quote only. No number, no range, no estimate.

Output quality. Nothing here was hands-on tested for writing quality, and it is deliberately left unranked. Quality resets with every model update, and it is the one variable you cannot confirm from a pricing page — which is exactly why every competing article leads with it.

What the top-ranking article does not tell you#

Search the target phrase and the leading result is Slack's own blog roundup. It names twelve tools. It publishes zero per-seat prices, zero seat minimums, and zero export formats, and mentions SSO for exactly one of the twelve.

That is not a criticism of the writing — it is evidence of what page one considers relevant. Those pages rank tools on output and feature counts, and none answers the question a person holding a company card actually has.

So this article scores four things instead: can you buy it self-serve at five seats, what tier does admin control cost, what happens to your bill when someone leaves, and can you get your words back out in a machine-readable format.

The five-person cost table#

Multiply the published per-seat rate by five and the shape of the market changes. Two rows are not per-seat at all.

Two rows deserve a second look.

Microsoft's $18.00 figure is a promotional rate the page says runs between 1 July and 30 September 2026, and it is an add-on that sits on top of an underlying Microsoft 365 license. The Business Standard with Copilot row at $23.50/user/month yearly is the number to compare against everything else.

Google's euro figures are introductory too: 50% off for the first three months, against regular rates of EUR 6.80, EUR 13.60 and EUR 21.10. Gemini is included at every tier at no additional cost.

The tool everyone calls best-for-teams has no team price#

Jasper is named in nearly every roundup of AI writing tools for teams. Its own pricing page tells a different story.

Pro is $69/seat/month billed monthly or $59/seat/month billed annually (checked August 2026), and Pro includes one seat. For anything larger the page says to contact Jasper's sales team to customize the Business plan. Business carries no published per-seat rate.

Every feature a team actually needs sits on that unpriced tier. Advanced admin controls, role-based permissions with admin, manager and member roles, user management with per-user permission settings, team usage and analytics, and sharing and project management are all Business-plan features. SSO is Business too, supporting SAML 2.0 with Okta, Azure AD and Google Workspace named.

The practical consequence: a five-person team cannot put Jasper on a card this afternoon. You book a call, you get a quote, you negotiate. That is a legitimate way to sell software — it just means Jasper is not comparable to the self-serve rows in this table, and every roundup listing it alongside them has skipped the step that matters.

Seat minimums and seat cliffs#

Only one vendor here publishes a floor. Anthropic's help center states plainly that Team plans require a minimum of two members and are not intended for individual use. That is the single verified seat minimum across all seven tools.

Anthropic publishes the matching ceiling on the same product: the pricing page describes Team as being for teams of 2 to 150. Past that you are in an Enterprise conversation.

The more expensive problem is the ceiling above you.

Copy.ai's Chat plan is $24/month billed annually ($288/year) or $29 monthly, and it includes five seats as a whole-plan price. That is by far the cheapest row in the table. The next tier, Growth, is $1,000/month ($12,000/year) for 75 seats. Above that: Expansion at $2,000/month for 150 seats, Scale at $3,000/month for 200 seats, then Enterprise.

There is no tier between five seats and 75. Hire a sixth writer and your published options jump roughly fortyfold.

Google has the mirror-image constraint: its pricing page caps Business Starter, Standard and Plus at a maximum of 300 users — a ceiling rather than a floor.

Admin control and SSO: which tier it really costs#

SSO is where the sticker price and the real price separate. Here is what the pricing pages say.

Claude is the outlier in the buyer's favor. SSO and SCIM are on the $20/seat/month Team plan, while Free, Pro and Max carry neither. That means a five-person team can enforce identity-provider login for $100/month annually without a sales conversation.

Notion splits it. SAML SSO arrives on Business at EUR 19.50/member/month. But SCIM provisioning with Okta, the audit log, and the membership-admin role that lets someone add and remove people without touching billing are all Enterprise only — so on Business you get single sign-on without automated deprovisioning, which is the half that actually closes the offboarding hole.

Grammarly's plans page is the strictest. SAML single sign-on appears on Enterprise, which has no published price. Pro at EUR 12/month does include Team Analytics and lists 2,000 prompts per member per month, but Enterprise is where BYOK encryption, dedicated support, Individual Analytics and the rest of the reporting live.

If your security review requires SSO — and after a certain headcount it always does — that requirement alone eliminates Grammarly Pro and Jasper Pro from consideration regardless of what the writing output looks like. What happens when someone leaves#

Anthropic's help center on managing Team seats states it directly: removing members does not trigger an immediate credit or refund. The seat becomes available to assign to somebody else, and to reduce your bill you have to separately reduce the plan's total seat allocation.

Read that twice. Removing the person and removing the charge are two different actions in two different places. Do the first and forget the second and you pay for an empty seat until renewal.

The same article notes that adding works differently: new seats are prorated based on your billing cycle and charged immediately. Moving somebody from a standard to a premium seat is treated as a reassignment rather than a new purchase. Anthropic publishes the premium Team seat at $100/month annually or $125/month monthly, which buys higher usage limits.

Equivalent offboarding-credit language could not be verified for the other six vendors. Ask the question in writing during the trial, because the answer is rarely on the pricing page.

Export and lock-in: can you get your words back out#

Two vendors publish real export detail. Five do not, at least not where a buyer would look.

Notion: the most documented exit here#

Notion's help pages describe four routes out: PDF, HTML, Markdown and CSV, and print-to-PDF through the browser. A full workspace export contains your pages as HTML, Markdown or CSV for databases, plus any files you uploaded, plus a sitemap index file.

Three limits matter for teams. Exporting the entire workspace to PDF is a Business and Enterprise capability, and Notion's help page says the option is going away, rolling out to workspaces gradually through 31 August 2026. The Include subpages option is likewise Business or Enterprise only — on Free or Plus you export pages one level at a time. And workspace exports can take up to 30 hours to process, with the download link expiring after seven days.

The permissions detail is the one that catches people. Notion states that pages the exporter does not have access to will not be included. Your export is silently scoped to whoever clicked the button, so the departing contractor's export and the workspace owner's export are different files with no warning that anything is missing.

Google Workspace: complete, but slow and gated#

Google's admin documentation on exporting all of your organization's data is unusually specific, and none of the specifics are convenient.

You must use a Google Workspace or Cloud Identity super administrator account that is at least 30 days old, with two-step verification enabled. Organizations with FedRAMP Authorization or more than 1,000 users have to contact support before starting.

The data arrives as compressed zip files organized into a folder per user, broken down by service. Google says the export typically takes 72 hours and can take up to 14 days, is available no earlier than 48 hours after you start it, and excludes accounts created in the 24 hours before the export begins. Using Google-provided buckets, the exported data is automatically deleted 60 days from the start of the export.

For Claude Team, Grammarly, Copy.ai, Jasper and Microsoft 365 Copilot, no published export-format detail appears on the pricing or help pages a buyer would check. That does not mean export is impossible. It means you cannot confirm it before you buy, which is a procurement finding in itself.

Priced as an add-on: $18.00/user/month paid yearly during a promotion the page says runs 1 July to 30 September 2026, $21.00 regularly, or $25.20 with monthly billing. The annual rate requires an annual commitment.

Judge it on the bundled rows instead. Microsoft 365 Business Standard with Copilot is $23.50/user/month yearly or $28.20 monthly; Business Premium with Copilot is $32.00 yearly or $38.40 monthly. Those are all-in numbers. No seat minimum is stated on the pricing page, though the add-on is capped at 300 users and requires a separate qualifying Microsoft 365 licence.

The specific limitation: the add-on figure most people quote is not a total cost, and the promotional rate has a published end date. Budget the regular $21.00 or the bundled Business Standard rate, not the headline.

Google Workspace with Gemini#

The strongest cost story here for a team already inside Google. Gemini features are included across all tiers at no additional cost, so the AI is not a separate line item at all.

Displayed euro pricing at the time of checking, discounted 50% for the first three months: Starter EUR 3.40 against EUR 6.80 regular, Standard EUR 6.80 against EUR 13.60, Plus EUR 10.55 against EUR 21.10. Starter limits Gemini to Gmail and Vids; Standard and Plus extend it across Gmail, Docs, Sheets, Slides, Vids, Drive, Meet and Chat. All three cap out at 300 users.

The specific limitation: org-wide data export is a super-admin operation that typically takes 72 hours and can take up to 14 days, requires an admin account at least 30 days old, and self-deletes after 60 days in Google-provided buckets. That is not a same-day exit.

Copy.ai#

Chat at $24/month billed annually or $29 monthly, including five seats as a whole-plan price. It covers unlimited words in chat, unlimited chat projects, and access to OpenAI, Anthropic and Gemini models. Growth and above add monthly workflow credits, ranging from 20,000 to 75,000 by tier.

The specific limitation: the tier above five seats is $1,000/month for 75 seats. There is nothing between them, so your sixth hire is a budget conversation, not a checkbox. The pricing page also does not specify SSO availability or admin permission controls by tier — treat both as unknown until you have them in writing.

Jasper#

Covered above. Pro at $59/seat/month annual or $69 monthly, one seat included, with teams routed to a custom-quoted Business plan that carries every admin and SSO feature.

The specific limitation: you cannot buy it for two people without a sales call, and the pricing page states no export format at all.

Grammarly#

Free at EUR 0, Pro at EUR 12/month with a 7-day free trial, Enterprise at contact-sales with no published price. Pro lists 2,000 prompts per member per month and includes Team Analytics. Enterprise moves to unlimited prompts and adds Individual Analytics, an ROI Report, an Effective Communication Score, custom roles and permissions, data loss prevention, dedicated support and BYOK encryption. No seat minimum is stated for any tier.

The specific limitation: SAML single sign-on is Enterprise only, and Enterprise has no published price — so the moment your security review requires SSO, Grammarly stops being a self-serve purchase and you have no idea what it costs.

Who should not buy any of these#

Solo writers. Claude Team requires a minimum of two members. Copy.ai Chat charges for five seats, filled or not. Buy an individual plan and revisit when you actually have colleagues.

Teams that will double within a year. Copy.ai's cliff punishes exactly that trajectory, and Jasper and Grammarly both put you into unpriced negotiation at the moment you need governance. If your hiring plan says 5 to 20, price the 20 now.

Regulated organizations that need audit logs on day one. Notion's audit log and Claude's fine-grained role-based access and compliance features are both Enterprise, and Anthropic publishes no Enterprise price. Start with the compliance requirement and work backward, not the other way around.

Anyone who needs a guaranteed export timeline. Notion says up to 30 hours for a workspace export. Google says up to 14 days. Neither is an SLA. If a contractual exit window matters to you, get it written into the agreement rather than inferred from a help page.

If none of those describe you, default to Claude Team. It is the only option that gives a five-person team identity-provider login, a published seat minimum, and prorated seat billing without a single conversation with a salesperson.

The 30-minute procurement check before you put it on the card#

1. Open the pricing page and find the seat count on your chosen tier

   Not the per-seat price — the number of seats the tier includes. Jasper Pro includes one. Copy.ai Chat includes five. Those two facts alone eliminate half the shortlists people build.

2. Find the SSO row and note which tier it sits on

   If it says Enterprise or contact sales, add an unknown-cost line to your budget right now. Grammarly and Jasper both put it behind an unpriced tier.

3. Find the tier immediately above yours and write down its price

   This is the growth test. If the next step up is more than roughly triple your current spend, you have a cliff, and you should know its height before you commit.

4. Search the vendor's help center for the word export

   Look for named formats — Markdown, CSV, HTML, JSON — not the word backup. If you find nothing, that is your answer, and it belongs in the vendor's written responses before you sign.

5. Email support one question: what happens to billing when a member is removed mid-cycle?

   Anthropic publishes the answer. Most vendors do not. Get it in writing, because it determines whether every departure quietly costs you a seat until renewal.

6. Run the trial with two people, not one

The verdict#

Buy Claude Team. At $20/seat/month billed annually — $100/month for five people, checked August 2026 — it is the only tool in this roundup that gives a small team SSO and SCIM without an enterprise contract, publishes an honest seat minimum, and documents exactly how seat billing works when people join and leave. Set a recurring reminder to reduce your seat allocation whenever somebody departs, because Anthropic states removing them will not credit you anything.

Two exceptions, both about sunk cost. If you already pay for Google Workspace, Gemini is included and buying a second writing tool is spending money to duplicate something you own. If you already pay for Microsoft 365, compare against the bundled Business Standard with Copilot rate of $23.50/user/month yearly rather than the promotional add-on figure.

Choose Notion Business instead if getting your content out in Markdown matters more than identity management, and accept that SCIM and audit logs will cost you an Enterprise conversation later.

Skip Jasper and Grammarly for a five-person team, not because of anything they produce, but because neither publishes a price for the version of itself that a team actually needs.
